How to view partner history in a mortgage pool?

This part of the documentation explains how you can use the partner history grid to view and edit historical information.

TIPS: 

  • The grid's contents can be sorted in various ways by clicking any of the grid's column headers. If you click the same column header more than once, the sort will alternate between ascending and descending order.
  • The Certificate column is only visible for certificate-based mortgage pools.

To view partner history:

  • Click on Mortgage Pool Servicing folder icon Mortgage Pool Servicing in the left panel of The Mortgage Office®.
  • Click the Shares Owned or Capital Invested drop-down, depending on the type of partner you want to view, and then select All Partners.
  • This opens the All Partners grid.
  • From the grid, choose the partner you want by double-clicking it, or selecting the partner and clicking edit Edit from the menu at the top of the page.
    • You can also click the history History icon in the top panel to open the partner history without the partner file. 

TIP: If the record you want to edit is not visible, use the page-scroll bar to scroll the contents page by page, or use search criteria_search_clear all Find in the upper right-hand corner. For additional information see How to Use Find and How to Use the Data Grids.

  • Click on history History from the menu at the left.
  • Below is a list of available functions:

Click to Edit a record.

CAUTION: Please be advised that changes made directly to a transaction record are not recommended and may create discrepancies between master and history files.

Keep in mind that changes should not be made to history records that alter material facts. For example: you can change a check number if you realize that the starting check number was entered incorrectly during a check run and what appears here is not the actual check number. This change coincides with factual information. However, you should not change the amount of the check.

Click to Delete a record. The following restrictions apply when trying to delete a transaction:
  • The Delete button is disabled if the transaction is a part of a certificate transfer and the certificate is not the last one in the transfer chain.
  • Deleting a single transaction that originated from a distribution is not permitted. You must delete (undo) the entire distribution. To delete a distribution, go to the distribution tab located in the mortgage pool file.
  • You are warned if this transaction has a related bank (trust) account entry which has been reconciled. Deleting a reconciled transaction may affect your bank reconciliation.
  • When you delete a transaction, all related records are also deleted.

    CAUTION: When you delete a record, the information is permanently removed from the database. Once a record is deleted it cannot be recovered.
ACTIONS with button border outline Click to display a list of available Actions. All selections apply to the currently selected record. The available choices are:
  • Reverse Transaction. The original transaction is left unchanged and an identical transaction with opposing values is created. All related trust account transactions are also reversed.
  • Reprint Check. The original check is voided, and a new un-printed check is created. Reprint is disabled for partner disbursements that didn't generate a printed check. A partner disbursement that was reinvested never generated a printed check.
  • Add Notes to Transactions. You may enter up to 255 characters to add Notes to the transaction. 
  • square-check-solid Show Pending Checks Only. Check this option to show only pending checks. 
export-to-excel Click to Export the contents of the grid to Microsoft Excel and automatically download to your computer.

Customize Grid. Opens a dialog window where you can change the display order of the grid columns and whether they are displayed or not.
refresh Click to Refresh to contents of the grid.
ALL DATES with button border

Use the drop-down list to filter the records shown according to date ranges. The choices are:

  • All Dates
  • Year to Date
  • Quarter to Date
  • Month to Date
  • Last Year
  • Last Month

Use the Search box using criteria of you own or use the drop-down menu. The choices are:

  • Search All
  • Search Date
  • Search Pool Account
  • Search Reference
  • Search Description
  • Search Certificate
  • Contains
  • Starts With
