How to add a property?

This article discusses how to add a property in a loan file.

The Properties tab contains different information about the collateral properties in the loan file. You are also able to notate and track property lien and insurance information, as well as property appraisal information. 

To add a property: 

    • Click on running Loan Servicing in the left panel of The Mortgage Office®.
    • Click the Loans drop-down.
    • Click All Loans
    • From All Loans grid, select the loan you want to modify.

    TIP: If the record you want to edit is not visible, use the grid's vertical scroll bar to scroll the contents of the grid up or down, or click FindSearch icon box Find to search for the record by entering your own search criteria.     • Double-click the loan or click edit Edit from the icons at the top of the page.
    • Click Properties house, no button border Properties on the vertical menu on the left.
    • Click Add new PLUS sign w border_r-PNG New. 
    • In the New Property window, enter the following information in the following sections and tabs:

    Description

    Enter a property description. (Maximum of 64 characters)

    Street

    Enter the property street address. (Maximum of 64 characters)

    City

    Enter the property city. (Maximum of 50 characters)

    State

    Select the state or province from the drop-down list.

    TIP: The state defaults to the state selected in the Company Properties. See Adding Company Information.

    Postal

    Enter property postal zip code. (Maximum of 10 characters)

    TIP: When a zip code is entered, it is matched against a database of U.S. and Canadian postal codes containing in excess of 850,000 records, and if a match is found the city, state and county are automatically updated. For consistency in data entry, the city, state and county are displayed all uppercase if the Street is all uppercase.

    NOTES:

    • The locale selection found in the Regional settings determines whether U.S. or Canadian values are returned.
    • Preferred City Name: There are approximately 43,000 U.S. ZIP Codes as issued by the US Postal Service.  Although there are 43,000 unique ZIP Codes, there are more city and town names than there are ZIP Codes. It is not unheard of to have 10 different city or town names for a single ZIP Code.
    • However, even though the USPS permits more than one city name for a single ZIP Code, they do have a preference; and that preference is referred to as a Preferred City.
    • The Mortgage Office™ always returns the Preferred City name.

    County

    Enter the county where the property is located. (Maximum of 50 characters)

    Select this option if this is the primary property for this loan.

    TIP: Only one property per loan can be designated as Primary Property.

    Copy Primary Borrower's Address

    Click this hyperlink to automatically populate the property address fields with the primary borrower's mailing address.

    • Appraisal Information Section:

    Description:

    Property Type

    Select a property type from the drop-down list. The default values are:

    • Commercial
    • Land
    • Mix Use
    • Mobile Home
    • Office Condo
    • Other
    • Residential Condo
    • Residential Income 1-4
    • Residential Income 5+
    • SFR
    • Residential 

    TIP: To add, rename, edit or delete items from the list, click the blue Property Type hyperlink and use the buttons on the right to edit the list. 

    Occupancy

    Select a occupancy from the drop-down list. The default values are:
    • Owner
    • Tenant
    • Vacant

    TIP: To add, rename, edit or delete items from the list, click the blue Occupancy hyperlink and use the buttons on the right to edit the list. 

    LTV

    Enter the loan-to-value ratio. 

    TIP: LTV is a lending risk ratio calculated by dividing the total amount of the loan plus all senior encumbrances by the appraised value of the property.

    Zoning

    Enter the zoning information. (Maximum of 15 characters)

     TIP: The zoning code for the property is usually found on the appraisal, for example, Residential - (R-1).

    Appraised Value

    Enter the appraised value of the property.

    TIP: Generally, the appraised value is an opinion of value reached by a licensed appraiser based upon recent sales information for similar properties, the condition of the property and the neighborhoods impact on future property value.

    Thomas Map

    The map coordinates used in the Thomas Guides map book to locate the property. (Maximum of 15 characters)

    Appraisal Date

    Enter the date of the last appraisal.

    Pledged Equity

    Enter the amount of equity on this property securing the loan.

    APN

    Enter the assessor's parcel number. (Maximum of 20 characters)

    TIP: APN or Assessor's Parcel Number is a number found in real property records. This number is assigned by counties to identify and track a particular piece of property.

    Priority 

    Select the loan's position on this property from the drop-down list.

    • Legal Description Tab:

      • Click on the Legal Description tab to enter the legal description for the property. 
    • Insurance Tab: 

      • Click on the Insurance tab to enter and track information about insurance policies in effect for this property. To learn more, see Insurance.
    • Liens Tab: 

      • Click on the Liens tab to enter and track information about liens and encumbrances in effect for this property. To learn more, see Liens.
    • Attachments tab:

      • Click on the Insurance tab to add attachments for this property. To learn more, see Attachments.
    • Notes tab:

      • Click on the Notes tab to add additional notes or information for this property. 
    • Custom Fields tab:

      • Click on the Custom Fields tab to add custom fields for this property. To learn more, see Custom Fields.
    • Click OK OK to save or CANCEL Cancel to abort changes.
