Loan Origination System Administration Configuration

This guide walks through configuring the core settings in System Administration under Loan Origination — product management, downloading forms and documents, loan status, key dates, loan purpose, importing loan files, and business contacts. Automations, the Fields Dictionary, Condition Groups/Conditions/Condition Phases, and Treasury Bill Yields are covered in separate guides. These are company-wide settings intended for database administrators — changes made here apply to everyone in the database.

Part 1: Navigating to System Administration

On the left, go to Loan Origination > System Administration > All.

The individual options in the left-hand column in System Administration > All also appear on their own further down the left-hand navigation panel, so you can access any of them in either spot.

Part 2: Product Management

 

Selecting Your Products

  • Products contain the specific documents and data-input screens tied to each product — for example, Canada uses different documents than the U.S., and California requires specific lender and borrower disclosures that aren't required in the rest of the country.
  • Check the box next to a product to make it active; uncheck the box for any product you're not using.
  • There is no Apply button — once your selections are made, simply close Product Management using the red “x” on the tab.

Note: Automations and the Fields Dictionary are configured elsewhere and are covered in separate guides.

Part 3: Package Installer

 

Running the Package Installer

  • Before you begin, confirm that all forms and all documents are downloaded for the products you use.
  • If any forms or documents are missing from the list, run the Package Installer — it downloads the latest documents and forms for each product.
  • Click Install.
  • Once installation finishes, click Close or the X.

Tip: Any time a new document or data-input form is added — or an existing one is corrected — you'll be asked to run the Package Installer, so your database stays current.

Part 4: List Maintenance: Loan Status

  • This list is provided by TMO, but it's fully editable — you can add your own statuses, update the wording of existing ones, reorder them, or delete them.
  • Each user in the database can be set to receive an email any time a loan moves into a specific status — for example, notify your underwriter when a loan reaches an underwriting status, your funder when it's ready to fund, or your whole team when information is needed from the borrower.
  • Once your statuses and notifications are set, click Update, then Close.

Note: Three statuses cannot be changed:

  • Application Received
  • Closed
  • Unassigned

Every other status can be reordered, renamed, or deleted.

Part 5: List Maintenance: Escrow Officer

  • An Escrow Officer can be added to each loan file to notate who you are working with at the Escrow Company.
  • Each officer added to this list will populate into a dropdown menu inside of the loan for you to select from.
  • To add one: click New, type in the name, click Add, then Close. The new Escrow Officer will now appear in the dropdown list, in every loan file.

Part 6: List Maintenance: Key Dates & Loan Purpose

Key Dates

  • Key Dates appear on every loan file's Overview screen. TMO comes with four dates built in, and you can add your own to track anything specific to your process.
  • To add one: click New, type in the name, click Add, then Close. The new key date will now appear on every loan file.

Loan Purpose

  • TMO provides a preset list of loan purposes, but you can edit it to match your own — use TMO's list as-is, delete entries you don't need, add new ones, or change the wording.
  • Click Update, then Close to save your loan purpose list.

Part 7: Importing a Loan from an FNMA File

  • TMO can import a Fannie Mae 3.2 (FNMA 3.2) file directly into Loan Origination.
  • Click the Import from File link, then click Browse and locate the file on your computer.
  • Select the loan product you want the file imported into, then click Next.
  • Verify the loan imported is the correct one. Click Next.
  • Click Import File — the imported file will appear in Loan Origination under the All Loans grid.

Part 8: Business Contacts

  • Business Contacts give every user in TMO quick access to shared contact information — title companies, appraisers, escrow officers, and other third parties — on the left under Business Contacts > All Contacts.
  • To add a new contact: click New, enter their information, select the Contact Type, then click OK.

Note: Once a contact is saved, it can be pulled directly into any individual loan file instead of entering the same information every time.

  • You can also add a new contact category, and reorder how categories appear in the list on the left in System Administration.
  • Click Close and your business contact will be saved.

Quick Tips

  • Product Management has no Apply button — closing the window saves your selections.
  • Run the Package Installer any time new or corrected forms and documents are released.
  • Application Received, Closed, and Unassigned are the only loan statuses that can't be renamed, reordered, or removed.
  • Set status notifications so the right person — underwriter, funder, and so on — is automatically emailed as a loan moves through your pipeline.
  • Business Contacts can be pulled into any loan file — no need to re-enter the same information every time.
