How to transmit or export tax forms?

This part of the documentation discusses how to use the Electronic Filing Assistant.

CAUTION: ABS RECOMMENDS THAT YOU CONSULT WITH YOUR ACCOUNTANT, ATTORNEY OR FINANCIAL CONSULTANT BEFORE MAKING ANY DETERMINATION AS TO YOUR LEGAL REQUIREMENTS TO FILE TAX RETURNS. SHOULD YOU HAVE ANY QUESTIONS REGARDING THIS SUBJECT MATTER, PLEASE READ THE IRS PUBLICATION 1220, WHICH IS AVAILABLE FROM ANY OFFICE OF THE INTERNAL REVENUE SERVICE.

TIPS:

  • About the IRS Tax Form Filing Service Offered by ABS. Filing of 1098, 1099-INT and 1099-MISC information with the IRS is a service we offer our licensed users, which facilitates the IRS required filing of certain data in electronic form.
  • Applied Business Software is identified as an "IRS Quality Supplier." In a letter from the IRS dated January of 1997, Applied Business Software Inc. was identified as an "IRS Quality Supplier". This title is awarded to filers with several consecutive years of error-free returns. A copy of the letter can be supplied upon request.

To transmit or export tax forms:

NOTE: This is not a free service. To learn more about this service, contact your ABS account manager. 

  • Click on Loan Servicing in the left panel of The Mortgage Office®.
  • Scroll to the bottom of the navigation panel and select one of the following:
    • 1098 Mortgage Interest
    • 1099-INT Interest Income
    • 1099-MISC Miscellaneous Income
    • 1099-NEC Nonemployee Compensation
  • Select the relevant tax year from the drop-down in the top right of the window.
  • Highlight by clicking on a batch from the list of records in the grid. 
  • Click users Open Payers from the options in the menu at the top of the page.
  • Click the lightning bolt with downward arrow, with button border Actions drop-down button at the top of the page and select online portals and upload, blue Export.

TIP: Click on either hyperlink in the 2 options above to jump directly to the instructions for that option. 

 

If you chose "Yes, I would like ABS to print and mail our IRS tax forms":

  • Once the "Yes, I would like ABS to print and mail our IRS tax forms:" option is selected, click NEXT in blue boxNext.
  • From the Electronic Filing Assistant dialog, choose one of the following:
    • blue circle around blue dot No, do not include a privacy notice.
    • blue circle around blue dot Yes, I would like to include a privacy notice with our printed and mailed IRS tax forms.

NOTES:

  • If you choose "Yes," use the BROWSE button, grey with border Choose File/Browse field to upload a privacy notice from your computer.
  • The file must be a PDF.
  • Once a privacy notice option has been selected, click NEXT in blue boxNext.
  • In the Company Transmission window, verify and make any necessary changes to the information in fields.

TIPS: 

  • Make sure to enter your email address to receive a notification confirming the number of records received by ABS and a final report detailing the electronic filing with the IRS. 
  • This information is required and will be submitted along with the tax forms.
  • For 1099-INT and 1099-MISC tax forms choose to have, or to not have, the IRS forward the information to participating states by checking or unchecking the Blue Check Box_r Combined Federal/State Filer Program box. 
  • Click NEXT in blue boxNext.
  • In the Consent & Disclaimer section, verify and make any necessary changes to the information in fields.
  • In the Filing Fees section, enter the authorized representative's name, email and date of agreement. 
  • Check the box to agree to the Consent & Disclaimer and Filing Fees.
  • Click NEXT in blue boxNext.
  • In the Electronic File Transmission window, check the box to agree to the terms, if ABS is transmitting the information for you.
  • Choose one of the following options:
    • Click TRANSMIT with wording, with button border Transmit if you wish to file electronically with the IRS using ABS's services.

NOTES:

  • To make corrections after transmitting your data:
    • Up until January 31, you can resend your data to ABS as often as you need. Each transmission replaces the previous transmission. This allows you to make corrections, additions, and deletions at your convenience. Simply make your changes and re-transmit the data.
    • Please note that your transmission must be received by ABS no later than Monday, January 15, 2024 in order to guarantee delivery to recipients by January 31, 2024.
    • Click EXPORT with wording, with button border Export if you wish to automatically download the files to your computer to be able to manually send to ABS for transmittal. 
  • Click black X Exit Exit or CANCEL Cancel to close the Electronic Filing Assistant.

If you chose "No, I will print the forms myself":

  • Once the "No, I will print the forms myself" option is selected, click NEXT in blue boxNext.
  • In the Company Transmission window, verify and make any necessary changes to the information in fields.

TIPS: 

  • Make sure to enter your email address to receive a notification confirming the number of records received by ABS and a final report detailing the electronic filing with the IRS. 
  • This information is required and will be submitted along with the tax forms.
  • For 1099-INT and 1099-MISC tax forms choose to have, or to not have, the IRS forward the information to participating states by checking or unchecking the Blue Check Box_r Combined Federal/State Filer Program box. 
  • Click NEXT in blue boxNext.
  • In the Consent & Disclaimer section, verify and make any necessary changes to the information in fields.
  • In the Filing Fees section, enter the authorized representative's name, email and date of agreement.
