[Escrow Administration](https://help.themortgageoffice.com/knowledge/loan-servicing?hsLang=en#escrow-administration) October 13, 2026 # How to Set Up Property Taxes on a Loan in Loan Servicing ## Property taxes paid from a borrower’s escrow (impound) account are set up as Escrow Vouchers on the loan’s Terms screen. Each voucher tells TMO who to pay, how much, when the bill is due, and how often it repeats. Once a voucher is set up, it feeds several parts of the system: - The **Unpaid Escrow Vouchers** report - **Tasks Pending / Select Vouchers for Payment**, where you print checks or send ACH payments in bulk - **Escrow Analysis** and the **Annual Escrow Account Disclosure Statement** ### Before You Begin 1. **The taxing authority needs to exist as a vendor.** The Payee picker pulls from your vendor list. If the county or district you need (for example, a new water or MUD district) doesn’t appear, add it as a vendor first, including a complete mailing address so checks print correctly. 2. **The property should be on the loan.** The Property dropdown lists the properties attached to the loan. If a property is missing, add it to the loan first. 3. **The loan should be set up for escrow.** If the Escrow Vouchers option is greyed out, confirm that the loan is set up to collect escrow and that your user has access to escrow features. ### Steps 1. Go to **Loan Servicing \> All Loans**. 2. Open the loan you want to set up. 3. Click the **Terms** tab. 4. Select **Escrow Vouchers**. 5. Click the **+** button to open the **New Escrow Voucher** window. 6. Complete the fields as described below. 7. Click **OK** to save. ### Field Reference | Field | What to Enter | | --- | --- | | **Payee** | Click the **..** button and select the taxing authority (for example, the county tax assessor-collector). The vendor’s name and address will display in the grey box below. | | **Date** | The due date of the **next** tax payment. After each payment is made, TMO advances this date based on the Frequency. | | **Invoice Received Date** | Optional. The date you received the tax bill. | | **Amount** | The amount due for each installment. | | **Frequency** | How often the tax is paid: **Yearly**, **Semi-Yearly**, **Quarterly**, or **Monthly**. For example, if a county bills in two installments, use Semi-Yearly. | | **Type** | Select **Property Taxes**. | | **Property** | Select the property this tax bill belongs to. | | **Ref** | Optional. A reference number, such as the parcel number (APN) or tax account number. | | **Memo** | Optional. Any notes about the bill. | | **Hold** | Check to keep this voucher from being picked up for payment until you remove the hold. | | **Discretionary** | **Leave unchecked for property taxes.** This box is only for optional payments the borrower chooses to include with their mortgage payment, such as credit life or disability insurance. Property taxes are a required escrow item, so they are never discretionary. | | **Paid** | Check if this installment has already been paid outside of TMO. | ### Tips and Common Questions **Should I create a new voucher every year?** No. A recurring voucher rolls forward automatically each time it’s paid. When the tax amount changes, update the **Amount** on the existing voucher rather than adding a new one. Creating a new voucher each year can lead to duplicate vouchers on your Unpaid Escrow Vouchers report and on Annual Escrow Account Disclosure Statements. **The loan has more than one property.** Create a separate voucher for each property’s tax bill and select the matching property on each one. **The loan paid off or was transferred out.** Escrow vouchers are removed automatically when a loan pays off or is transferred out, so no action is needed. **The borrower paid the tax bill directly.** Mark that installment as **Paid** so it isn’t paid twice from escrow. If the borrower needs to be reimbursed from their escrow balance, contact Support for the recommended steps. **My escrow analysis isn’t picking up the tax voucher.** Check that the voucher’s Date falls within the analysis period and that the voucher isn’t on Hold. **Do I have to set these up one loan at a time?** For larger portfolios, escrow vouchers can also be imported.
