How to generate the borrower statement of account for a line of credit loan?

This part of the documentation discusses how to generate the borrower Statement of Account for a line of credit loan.

Even though at the time the finance charges are assessed a borrower billing statement is produced, it may be necessary at times to generate a statement of account on demand. Unlike the billing statement, the statement of account can be produced for any range of dates, and its summary section provides the amount of interest the borrower paid year-to-date as well as for the reporting period.

NOTE: We suggest pre-printing Your Billing Rights on the reverse side of the billing statement.

The statement of account can be generated from the Lines of Credit Grid or from Tasks & Reports.

To print the borrower Statement of Account from the grid:

  • Click on the running Loan Servicing drop-down menu in the left panel of The Mortgage Office®.
  • Click the Loans drop-down menu.
  • Click Lines of Credit from the list that drops down.
  • From the Lines of Credit grid, select the loan you want to modify.

TIP: If the record you want to edit is not visible, use the grid's vertical scroll bar to scroll the contents of the grid up or down, or click FindSearch icon box Find to search for the record by entering your own search criteria.   • Click nicer looking printer icon Print and from the drop-down choose to print a statement for the selected borrower or for multiple borrowers.
  • From the dialog box that pops, you have the option to select All Loans or Selected Loans by Account from the drop-down list.

TIP: When you choose Select Loans by Account you must enter starting and ending account numbers in then From and To input fields. You can enter the same starting and ending account number to select a single loan, or you can enter a logical range to select multiple loans. For example, if you enter HBT as the starting and ending accounts, all loans with account numbers starting with HBT will be included.

TIP: Click image-png-Jun-18-2023-02-25-53-1453-AM to open a lookup window that allows you to select a record from a list of existing records. For more details see How to Use Lookup Windows.

  • Select Envelope Size. Select an envelope size from the drop-down list. The available choices are: 
    • None. Default. No special adjustments are made for window envelopes.
    • DFS-771 (4 1/8 x 9 in)
    • Size 9 (3 7/8 x 8 7/8 in)
    • Size 10 (4 1/8 x 9 1/2 in)

TIP: You can use the Window Envelope Alignment tool to adjust the location in which the company's return address and the recipient's address are printed. For more details see How to use window Envelope Alignment tool.

  • Select the Statement Period from the list.
TIP: If you want to enter From and To dates, select Custom Period from the drop-down list.

The available options are:

  • All Dates
  • Month to Date
  • Quarter to Date
  • Year to Date
  • Last Month
  • Last Quarter
  • Last Year
  • Custom Period
  • Select Loan Categories to Include or Exclude. Use this option to include or exclude loans based on their categories.
NOTE: Categories are keywords or phrases that help you create logical loan groups. To learn more read How to Use the Categories Window.
  • Click NEXT in blue box Next.
  • Select Borrowers presents a list of borrowers based on the criteria and options you entered in the prior step. You may individually check or uncheck borrowers you do not want to send a statement to.

TIP: You can use the Select All and Clear All hyperlinks near the bottom of the window to check or uncheck all borrowers on the list.

NOTE: You won't be able to proceed to the next and final step unless one or more borrowers are selected.

  • Click NEXT in blue box Next.
  • Click  to preview the statements, and  to send statements to the list of borrowers via E-mails.
    • Click Edit Message to open a dialog window and edit the E-mail message text. The message can be a maximum of 1,024 characters long.
  • square-check-solid Override delivery options and preview statements for all selected loans will allow you to override the delivery options in the borrower file and will preview statements for all of the selected loans regardless of options chosen. 
  • square-check-solid Create attachments will save a copy of the statement in the borrower's file. 
  • Click  or the grey X in the corner of the assistant to exit.

To print the borrower Statement of Account from Tasks & Reports:

  • Click on running Loan Servicing in the left panel of The Mortgage Office®.
  • Click Tasks & Reports. 
  • Under the Line of Credit / HELOC section, click print Borrower Statement of Account. 
  • Select Loans by Account. The drop-down choices are:
    • All Loans
    • Select Loans by Account.

TIP: If you choose to select loans by account, click the browse two dots lookup tool in the From: & To: fields to choose a range of borrowers. Read more about the lookup tool here.

  • Select Envelope Size. This selection aligns the location of the borrower's address on the statement with several commonly available window envelops. The drop-down choices are:

    • None (best for sending the statement via e-mail or exporting it to PDF format)
    • DFS-771 (4-1/8 x 9)
    • Size 9 (3-7/8 x 8-7/8)
    • Size 10 (4-1/8 x 9-1/2) 
  • Next, use the options found in the Statement Period section and select a range of dates. This selection determines the amount of activity printed on the statement as well as the period-to-date and year-to-date information displayed in the summary section of the statement.

NOTE: If you select All Dates from the list, the statement will not report any year-to-date interest.

  • The available options are:
    • All Dates
    • Month to Date
    • Quarter to Date
    • Year to Date
    • Last Month
    • Last Quarter
    • Last Year
    • Custom Period

TIP: If you want to manually enter From: and To: dates, select Custom Period from the drop-down list.

  • If necessary, use the Select Categories to Include or Exclude dialog to include or exclude loans based on their categories.

NOTE: Categories are keywords or phrases that help you create logical loan groups. To learn more read How to Use the Categories Window.

TIP: You may, as many times as needed, use the  Next and BACK blue button without borderBack navigation buttons to retrace your steps and make changes.

  • Click NEXT blue button without border Next.
  • The next step, Select Borrowers, presents a list of borrowers based on the criteria and options you entered in the prior step. By default, all borrowers are selected to receive a statement, but you may individually uncheck borrowers you do not want to send a statement.

TIPS:

  • You can use the Select All and Clear All hyperlinks near the bottom of the window to check or uncheck all borrowers on the list.
  • The Export to Excel hyperlink will download all square-check-solid checked borrowers to your computer's Downloads folder.

NOTE: You won't be able to proceed to the next and final step unless one or more borrowers are selected.

  • Click Next, which brings you to the Preview or E-mail Statements dialog box with the following options:
    • square-check-solid Override delivery options and preview statements for all selected loans
    • square-check-solid Create Attachments
    • The Window Envelope Alignment hyperlink brings up the following options under Select Envelope Style:
      • DFS-771 (4-1/8 x 9)
      • Size 9 (3-7/8 x 8-7/8)
      • Size 10 (4-1/8 x 9-1/2) 
  • Once you've chosen an envelope style, press APPLY Apply or Cancel icon_NO border_r Cancel.
  • Click black X Exit to bring you back the Preview or E-mail Statements dialog box.
    • To preview a statement, click print Preview Statements. For additional information see How to Use the Print Preview Window.
    • To email a statement, click envelope-solid Email Statements.
    • To edit a message, click edit message Edit Message to edit the message text. The message can be a maximum of 1,024 characters long.

  • Click black X Exit when you are finished.
