How to Leverage User Personas

Coming Mid-September 2025: The User Persona feature enhances user-level access control by introducing Loan Role assignments within the Loan Origination product. This builds on the existing User Management system by allowing administrators to define functional roles (e.g., Processor, Loan Officer) and assign them on a per-loan basis. The result is improved visibility, focused task ownership, and better access segmentation across teams.

Prerequisites

  • Available only in Loan Origination
  • Requires Group and/or User setup via User Management
  • Feature Flag may be required during rollout (Optional)

Note: Existing access controls like "Access Any Loan" continue to function and will override loan-level restrictions.

Transition from Loan Officer Picklist 

This feature replaces the legacy Loan Officer picklist in System Administration. 
 
To ease migration: 
  • The system will automatically generate placeholder users in User Management based on the existing names in the picklist
  • These placeholder users will use fake email addresses, as the old picklist did not store email or user credentials 

Customers should review and update these placeholder records as needed to align with their current staffing and permission structures. 


Using the User Persona Feature

Setting Up Loan Roles via User Management

Admins can configure Loan Roles in User Management:

  1. Create a Group (e.g., Processor)
  2. Define group-level access permissions
  3. Add users to the group
  4. Enable the toggle: “Use as Loan Role”

Assigning Roles on a Loan

When a group is flagged as a Loan Role, a Loan Role Assignment card will appear on the Borrower Overview Page of each loan. 

From this card, users can: 

  • View role types (e.g., Processor, Closer)
  • Assign users from eligible groups to that role
  • Reassign roles as needed over time

Role-Based Access & Visibility Control

Assigning users to loan-specific roles improves both security and workflow clarity:

  • Users only see loans where they are explicitly assigned
  • Groups or individuals with “Access Any Loan” bypass this and retain global access 

This model supports cleaner dashboards, prevents accidental overexposure, and reinforces team boundaries. 

Troubleshooting & Access Checks

  • Unexpected Access Visibility?
    • Check both group and individual access settings. Visibility may be granted at either level. 
  • Placeholder User Records?
    • If placeholder users were auto-generated from the legacy picklist, review and replace them with real users or merge as appropriate.
