How to edit a letter in Loan Servicing?
This part of the documentation discusses how to use the Microsoft Word add-in to customize a letter in Loan Servicing.
NOTE: This article assumes that you already have downloaded the Microsoft Word add-in. Click here for instructions on how to do that.
To customize a letter in Loan Servicing:
- Click on
Custom Letters & Reports from the menu on the left panel of The Mortgage Office®.
- Click Custom Letters.
- Click on any record in the list.
- Click
Edit.
- Change the following information in the Letter Properties assistant, if needed:

Category | This field is a read-only field when editing a letter that's already added to The Mortgage Office®. |
Description |
Enter a description for the letter. (Maximum of 255 characters) TIP: The letter's description is used throughout the system for identification and when selecting this letter for printing. |
User Access | Limit the access of the letter to specific users if needed. |
Author | Enter the author of the letter. |
Company | Enter the company the letter belongs to. |
Comments | Enter any letter comments you need to explain the use or purpose of this letter. |
- Click
Download.
- Open the letter that was downloaded.
TIP: You may have to open your file explorer and the Downloads folder to access the downloaded letter.
Use the Microsoft Word add-in to add or change fields:
- Use this article to find the field(s) you want to add into the letter.
- Copy the field from the linked article above and paste it the Field ID box in the Word add-in in the ribbon at the top of the Word document.
WARNING: Only paste the field name along with any underscores, do not paste extra spaces or characters.
- Format the Field ID as needed, though this step is optional.
- Click Insert Field to insert the Field ID.
NOTE: You can use Custom Fields as a mail merge field by using "UDFB_" before your custom field name. For example: "UDFB_Hobbies".
NOTE: The process above can be used to add new Field IDs to a letter like described above, or to replace Field IDs within a letter; just select the current Field ID and insert the new Field ID over the current one using the process above.
- Once you're done customizing the letter to your liking, save the letter to your computer.
TIP: Make sure the letter is saved in the 97-2003 .dot template format – there should be no "x" after the .dot. Any other format is incompatible with TMO Pro.
- In The Mortgage Office® Letter Properties assistant, under the Upload Here section, click Browse.
- Browse your computer & find the letter that you customized and saved to your computer.
- Select the letter and click Open or double click the letter to attach it to the Document Details assistant for uploading.
- Click
OK to save the customized letter to The Mortgage Office® or Cancel to abort the changes.
