How to edit a vendor in loan servicing?

This article discusses how to edit a Vendor.

To edit a vendor:

  • Click on running Loan Servicing in the left-hand navigation panel of The Mortgage Office®.
  • Click on All Vendors.
  • Select the Vendor and click edit Edit from the icons in the top panel or double-click the vendor to open the file for editing. 
  • Edit the following information in the following tabs:

General Tab:

Description:

Full Name

Edit the vendor's full name. The first time the Full Name is entered, it is parsed and used, if possible, to auto-populate the First Name, MI and Last Name fields. (Maximum of 64 characters)

TIP: The Full Name can represent the name of a legal entity, while the First Name, MI and Last Name can be the name of a natural person.

Salutation

Edit a salutation field. (Maximum of 50 characters)

First Name

Edit the vendor's first name. (Maximum of 30 characters)

MI

Edit the vendor's middle initial. (Maximum of 1 character)

Last Name

Edit the vendor's last name. (Maximum of 30 characters)

Street

Edit the vendor's mailing street address. (Maximum of 64 characters)

City

Edit the vendor's city. (Maximum of 50 characters)

State

Select the vendor's state from the drop-down list.

Zip Code

Enter the vendor's zip code. (Maximum of 10 characters)

TIP: When a zip code is entered, it is matched against a database of U.S. and Canadian postal codes containing in excess of 850,000 records, and if a match is found, the city, state and county are automatically updated.

TIP: The Locale selection found in Regional User Preferences on the Options page determines whether U.S. or Canadian values are returned.

Preferred City Name: There are approximately 43,000 U.S. ZIP Codes as issued by the US Postal Service.  Although there are 43,000 unique ZIP Codes, there are more city and town names than there are ZIP Codes. Actually it is not unheard of to have 10 different city or town names for a single ZIP Code.

However, even though the USPS permits more than one city name for a single ZIP Code, they do have a preference; and that preference is referred to as a Preferred City.

The Mortgage Office® always returns the Preferred City name.

E-mail

Enter the vendor's e-mail address. (Maximum of 255 characters)

TIP: You may enter multiple e-mail addresses by separating each with a semi-colon. When sending documents via e-mail (such as statements), The Mortgage Office® will generate a separate e-mail with the appropriate attachment to each e-mail address in the field.

Format

Select an e-mail delivery format from the drop-down list. Available options are HTML or Plain Text.

Delivery

Select a delivery option from the list. Available options are PrintE-mail or SMS.

TIP: Notices and Statements that are email-enabled, will use this option to determine each vendor's preference. You can override this preference at time of producing the documents. For example, even if many vendors have elected to receive their statements via electronic mail, you may want to print and send the year-end statements via regular U.S. mail.

Phone Numbers

Enter the vendor's Home, Work, Mobile and Fax phone numbers. (Maximum of 20 characters)

TIP: The phone number will be automatically formatted if you enter numeric digits only. For example, typing 5624262188 is automatically converted to (562) 426-2188.

Account

Enter a unique account number for this vendor. (Maximum of 10 alpha-numeric characters including "-" and ".")

NOTE: Only users with supervisory rights are allowed to change account numbers.
TIP: If you have opted into the auto-numbering scheme for account numbers, this field will be prefilled. Read more about account numbering here

TIN
(SIN)

Enter the vendor's tax identification number. (Maximum of 11 characters)

TIP:  This number is a minimum of nine digits and can be either a social security number or a company identification number. This number may be entered with or without hyphenation.

WARNING: Limit Public Display of Social Security Numbers. Many states, including California now place restrictions on the display and transmission of social security numbers. To comply with these new regulations, the User & Group Security module provides options to limit the access to and display (only the last four digits are shown) of TINs.

TIN Type
(SIN Type)

Select from one of the following codes to identify the recipient type used for tax reporting:

U.S.A.:

  • EIN. Employer identification number.
  • SSN. Social security number.

WARNING: ACH Detail Record Type. The TIN Type field affects the type of ACH detail record created when using ACH Express. If the TIN Type is EIN, a CCD detail record is created. If the TIN Type is SSN, then a PPD detail record is created. Read the ACH FAQ & Glossary for more information.

Canada:

  • 1 - for an individual.
  • 2 - for a joint account (two or more individuals).
  • 3 - for a corporation.
  • 4 - for an association, trust (RRSP trustee, fiduciary-trustee, nominee, or estate), club, or partnership.
  • 5 - for a government, government enterprise, or international organization.

Alternate Tax Info

Click on the Alternate Tax Info hyperlink to open the Tax Payer Information window and enter information used to prepare the IRS Form 1099.

TIPS: Select the blank check box Auto-Synchronize option to use the information entered in the General tab of the Vendor file; otherwise, uncheck the selection and type the correct information in the form.

For example: you have a vendor who is using her married name on your loan files but her social security records still show her maiden name. In this case, create a Tax Payer Information record using her maiden name.

NOTE: You only need to create a Tax Payer Information record if the vendor's information is different than what should be reported to the IRS.

Notices & Forms

The options under this section are used to prevent certain notices and forms from printing.

Tax Reporting blank check box

Select this option to send a Form 1099-INT to the vendor.

 IRS 1099-NEC blank check box

Select this option to send an IRS 1099-MISC Miscellaneous Income form to the vendor. 

 

Birthdate

Enter the vendor's birth date.

Vendor Code

Enter a vendor code. (Maximum of 50 characters)

TIP: You can enter any type of code that is meaningful to you.

Contact Name

Enter the name of the contact person for this vendor. (Maximum of 64 characters)
 
TIP: To addrename, or delete investment counselor names from the list, click on the blue "Counselor" hyperlink, or navigate to Tasks & Reports, click Options & Maintenance, then click List Maintenance: Lender Counselor to open the list maintenance window. Select a name from the list and use the actions to the right.

Categories

Click Categories to select one or more categories from the list.

TIP: Categories are keywords or small phrases that help you segregate lenders into meaningful groups. When printing statements and reports, you can include or exclude lenders based on their categories.

TIP: Vendors can be assigned more than one category. You can add, rename, or delete categories as needed. To learn more about categories read How to use the categories window.

Send Check to Payee blank check box

 

Select this option and enter a payee name and address to use when printing checks, otherwise the system will use the vendor's name and mailing address.

TIP: To send a vendor’s checks to a bank or other location, select this option and then complete the Payee data. If the check is being sent to a bank, enter the bank account number here also.

NOTE: The checks provided by ABS allow you to send the check to the payee while still sending the stub to the vendor.

Bank Name

Enter the bank's name. (Maximum of 64 characters)

Bank Address

Enter the bank's address. (Maximum of 255 characters)

Routing Number

Enter the number of the bank or financial institution where the vendor’s payment is to be deposited. This is oftentimes referred to as the routing number. (Maximum of 9 characters)

Account Number

Enter the number of the bank account where the vendor's payment is to be deposited. (Maximum of 17 characters)

Refer to the image above to locate the holder's bank account number from a sample check. 

Individual Id

Enter the vendor's account number. (Maximum of 50 characters)

Individual Name

Enter the vendor's name. (Maximum of 50 characters)

Account Type

Select Checking or Savings or GL Deposit (Credit) from the drop-down menu.

Service Status

Indicates the status of the vendor's ACH account. Select one of the following from the drop-down menu:

  • None
  • Active
  • Cancelled
  • Hold

Send Printed Notification of Deposit blank check box

Check this box to generate paper notifications of electronic deposits for this vendor.

Send Email Notification of Deposit blank check box

Check this box to generate electronic (email) notifications of electronic deposits for this vendor.

  • Click the Apply icon image-png-Jun-23-2023-06-15-47-1317-AM near the top-right-hand side of the Vendor page. This will save all of your changes.
